There will be no big mystery to solve by the time you are finished reading this post…I am a huge CVB Fan. I find them to be my number one best resource as I begin to investigate any city in which we have an interest in holding a meeting. They help me to determine immediately if there is a fit or not, by quickly being able to access my hotel and center space requirements. Then they help me to drill down further to assess the resources available in the destination for the educational portion of the conference and the social events we will be planning. These beginning tasks would simply take an incredible amount of time and research on my own without their succinct assistance.
Working with a CVB is also a tremendous asset in the coordination of the entire RFP process. They help me stream line the responses, including all the specific clauses that are of importance to me, and communicating the timing of submission deadlines to the center and all the hotels and venues with whom I am trying to contract. Individually, this execution would amount to an overwhelming task that is reduced and professionally coordinated in little time, though the efforts of the city’s Convention and Visitors Bureau.
About a year out, they continue to be of assistance, as I begin to work on staffing, marketing and promotion with local organizations. They can help with press releases also. I find they have the heart of the local media. We do partner with local agencies as well, but the CVB often has connections they may not.
Additionally, I rely on them for advice in the destination for local attractions and venue recommendations. They are irreplaceable for recommendations on local vendors. Without the CVB as my partner, I would spend countless hours on the internet or be reduced to ripping off the yellow pages when I visit the city. Not only do they save me time in doing the research, but they give me access to true partners. I feel secure that the vendors I select, from florists to copiers, will do a good job because the referral has come through the CVB, and the vendor member will have a greater understanding of the worth of my business to the city, and also have to answer to the local CVB if anything goes wrong.
Down to the wire, the CVB is involved and still essential to the meeting running smoothly. Upon arrival in the destination, the CVB provides excellent coordination of preconference meetings. They can assure that the multi layers between the center, multiple hotels, and venues are in place.
We have been very lucky. I have never had a CVB that was subpar. I have had facilities and even cities that didn’t meet my expectations, but never CVB staff. You could even liken the skills of a CVB to any good crime scene investigator…they are given a challenge and rise professionally and expertly to the opportunity to solve it…just without the blood and guts. That’s why it’s my first call in any destination.
