Your meeting dollars go far in Rogers. In fact, Rogers, Arkansas is the type of meeting destination that provides affordable and accessible venues and hotels while at the same time features top-notch dining and world-class museums. Today, we talk with Judy Doerfler, Director, Global Accounts with HelmsBriscoe about her personal experience planning a meeting in Rogers and working with the dedicated team at Visit Rogers.
SUZZANNE: Tell us, what does your job entail?
I work with my clients to find the best hotel for their off site needs, offering the best location and negotiating the best terms and conditions. I’ve been working with this client for almost five years now on their four annual Regional Conventions. Along the way we have some fun and they are extraordinarily thankful to have someone who has their best interests and bottom line always in mind. I love what I do…and get to put my years of experience and interest in the hospitality and travel industries to great use.
SUZZANNE: Can you share a favorite meeting planner hack (time savings tip)?
I always recommend to my clients that they review master account charges on a daily basis while they are operating a program, as it will save them lots of time when they receive the final bill. You can easily forget things in the crazy busy days running a program but it’s better to catch incorrect charges in the moment and ask for them to be fixed right then and there, rather than reconstruct everything after the fact.
SUZZANNE: Any favorite words to live by?
“Do unto others as you would have them do unto you.” It’s the cornerstone of gracious hospitality in our industry and always applicable to everyday life.
SUZZANNE: What is one of your significant job challenges that working with the Visit Rogers team helped you solve?
Visit Rogers was instrumental in working to bring my client to their area. In fact, they can take total credit for planting the seed to consider Rogers in the first place. They stayed in touch, offered assistance, hosted a dynamite site visit and provided marketing dollars to help boost attendance for my client’s regional event. It was so successful; my client is looking to return for another two years and to extend their commitment to Rogers into 2020.
SUZZANNE: What are some of the distinctive attributes/destination offerings of Rogers, Arkansas that helped to make your meeting great?
My client is a faith-based organization with a focus on home schooling. Rogers provided a safe, family oriented destination with hotels and restaurants that met my clients demographic and budget requirements and a meeting/hotel package all under one roof at the Embassy Suites Northwest Arkansas – Hotel, Spa and Convention Center.
SUZZANNE: How would you describe the relationship you have with the CVB? What would you compare it to?
I have a great relationship with my contact at Visit Rogers, Erin Jernigan…she is wise beyond her years and incredibly proud of her home city. I feel like we are on the same team during every interaction on behalf of my client. They offered my client a great package, smoothed over some minor bumps and stayed in touch and on top of everything before, during and after the meeting. Outstanding!
SUZZANNE: What did your attendees say about your overall experience in Rogers?
Well they loved it so much they want to go back for another 2 years!
